The Science Meetings and Events team is looking for a part-time intern interested in gaining administrative and technical support services experience in the AHA research awards process and day-to-day management services for investigators and their institutional grants and fiscal officers. The selected candidate will conduct data quality reviews for the team and assist customers in understanding and interpreting AHA policies and procedures to ensure compliance with awards.

The American Heart Association’s Internship Program provides college students an opportunity for hands-on experience in various facets for individuals interested in gaining work experience with a non-profit, voluntary health organization.

Individuals will obtain practical experience and receive hands-on training in awards management. In this position, you will work closely with the Strategic Research Awards team to support the overall management of the strategic network awards (e.g., Strategically Focused Research Networks, Health Equity Research Networks, etc.,).

Responsibilities

  • Exhibits & Sponsorship Management:
  • Provides general support for sponsorship/advertising/exhibit related questions.
  • Handles operational tasks for the team including distribution of specifications to industry supporters for sponsorship/advertising activations for Scientific Sessions.
  • Review and maintain external industry-facing websites.
  • Support management of sponsorship/advertising activations at Scientific Sessions.
  • Supports managing meeting event logistics.
  • Assist with vendor review, outreach, and contracting.
  • Assist in exhibitor/sponsor prospecting.
  • Assist with ordering & maintaining inventory of sponsorship/advertising/exhibit supplies.
  • Assists management with special projects as needed/assigned.

Qualifications

  • Candidates who are college juniors, seniors, or graduate students, preferably in event and hospitality management.
  • Experience in management, implementation, and execution of events ranging from 250 people to 1,000+ people preferred.
  • Project management experience preferred.
  • Strong customer service and interpersonal skills.
  • Ability to communicate information accurately and effectively to diverse audiences.
  • Experience working with databases and electronic reporting tools.
  • Strong attention to detail.
  • Excellent proficiency in MS Word, Excel, Outlook and PowerPoint, and Adobe PDF Editor.
  • Required Equipment: Reliable WiFi Connection.
  • Minimum availability of 20 hrs/wk, M-F between the hours of 8:30am-5pm.
  • Must be legally authorized to work in the United States for any employer without sponsorship, now or in the future. For any roles working remotely, the work must also be performed inside the United States, not in a foreign country.
